How Does Working with Planer Studio Look?
Every event we deliver follows a proven workflow that ensures quality and reliability at each stage. The process begins with a technical consultation, during which we discuss the nature of the event, venue specifics and your expectations. Based on this, we prepare a technical solution design together with a detailed quote.
Once the proposal is approved, we handle equipment delivery and setup at your venue. During the event itself, a dedicated technician is on site to monitor all systems and respond to any issues in real time. After the event we take care of equipment teardown and collection. Throughout the entire project, you have a direct line to your assigned project manager.

We maintain our own regularly serviced equipment fleet. Our inventory includes multimedia projectors ranging from 3,000 to 30,000 ANSI lumens, line array sound systems for both indoor and outdoor venues, and LED stage lighting with full programming capabilities. We work with wireless microphones from Sennheiser and Shure, digital mixing consoles and LED screens in various formats. Equipment selection is always discussed with the client to match the room size, audience capacity and budget.

How much does event technical support cost?
The cost depends on the scale of your event, the type of equipment required and the duration of the project. We quote every client individually after a technical consultation. Send us an enquiry and we will prepare a free quote within 24 hours.
Do you provide a technician on site?
Yes. We assign a dedicated technician to every event, responsible for equipment setup, operation during the event, and teardown afterwards. For large-scale productions, a multi-person technical crew is on site.
How far in advance should I book equipment?
We recommend getting in touch 2–4 weeks before your event to allow comfortable planning and equipment reservation. However, we understand that timelines are not always flexible — we also handle urgent requests, even at a few days' notice, subject to equipment availability.
Do you support events outside Warsaw?
Yes. Although our headquarters are near Warsaw, we support events across the whole of Poland. We have our own transport vehicles and deliver equipment directly to the venue. Transport costs outside Warsaw are included in the quote.

How to Prepare a Technical Brief for Your Event
A well-prepared technical brief is the key to a smooth event. The more information we receive upfront, the better we can match equipment, crew and budget to your needs. Here are the most important things to establish before our first meeting.
Event type and format — corporate conference, gala dinner, concert, training, trade show or outdoor event? Each format has different technical requirements. A 200-person conference with panel discussions needs a different sound setup and microphone count than a gala with live performances.
Venue and date — provide the exact venue address and the event date with start and end times. If you have a floor plan with dimensions, attach it — this lets us propose an equipment layout right away. Also important: when the venue is available for setup (we typically need 4–8 hours before the event).
Number of attendees and room layout — knowing how many people will attend and how they will be seated (theatre-style, banquet, boardroom) lets us size the PA, determine monitor count and configure the lighting.
Event scenario — even a draft agenda helps plan the technical flow: when to start the presentation, when to change lighting to the audience, when to cue music. For complex productions we create a detailed cue sheet — a technical script synchronised with the event programme.
Budget — you do not need an exact figure, but a ballpark range lets us propose solutions that deliver the best impact within the available means. We always present options — from cost-effective to premium.
